About Worksite Wellness Nutrition:

We’re a team of expert Registered Dietitians/Nutritionists who provide virtual nutrition counseling. We are in-network with most major insurance plans and hold a variety of state-specific licenses, which allows us to help people from most states within the U.S.

Insurance Coverage:

We accept Blue Cross Blue Shield, Aetna, Cigna, and United Healthcare. We are also in-network with Medicare, which only covers renal disease and diabetes. Most insurance plans cover a portion (or all!) of the costs for sessions. Most of our patients pay $0 out of pocket!

If our dietitians are out-of-network with your plan, we can send you a superbill which you can submit to your insurance for reimbursement. Please note that you are responsible for any fees/charges not covered by insurance. Keep reading for answers to common questions.

Cash-Pay Rates & Other Services:

CASH-PAY RATES: If you do not have insurance coverage for nutrition counseling, you can still work with us! Our out-of-pocket/prompt cash pay rates are $225 for the initial appointment (up to 85 minutes) and $95 for follow-up appointments (up to 40 minutes). We accept many forms of payment and are approved to accept FSA/HSA payments.

MONTHLY MESSAGING SUPPORT: If you need more individualized support, in addition to one-on-one sessions, we offer a monthly support package for $349. This allows you to message your dietitian through our messaging system at any time. Your dietitian will respond promptly during business hours (Monday-Friday 9 AM-8 PM). MEAL PLANS: Your dietitian can create an individualized 2-week meal plan for an additional $199.00. This meal plan will be specific to your food preferences, lifestyle, and calorie needs, and will include portions and recipes. If requested, we’ll provide you a recommended daily calorie, fluid, and fiber amount and, a breakdown of suggested quantities of carbs, fats, and protein. To purchase an individualized meal plan, fill out the form on the “contact” page with the word “meal plan” in the subject line. Meal plans are not included with your sessions, but can be purchased as an add-on.

Does your insurance cover nutrition counseling?

  • Most insurance plans cover nutrition counseling with a Registered Dietitian! We recommend that you call the member services phone number on the back of your insurance card to get an understanding of coverage. Always get a reference number before hanging up. Please note that verification of benefits is not a guarantee of coverage. To help out, we’ll send you a verification script to follow when you call your insurance plan.

  • Do I need a referral? Most insurance companies do not require a referral, except Aetna. All Aetna plans require a referral. If you have Aetna, we will send you our referral form for your doctor to fill out. Your doctor can also send us his/her referral form.

  • If your insurance does not cover nutrition counseling we can still work together! If you have out-of-network coverage you can pay us, we’ll give you a superbill, and you can submit that to your insurance carrier for reimbursement. We also have out-of-pocket, cash-pay packages. We accept all forms of payment including all major credit cards, Venmo, and FSA and HSA cards.

  • What are your out-of-pocket costs? Our cash-pay rates for the initial appointment is $225 (up to 85 minutes) and $95 for follow-up appointments (up to 40 minutes).

  • We have a strict cancellation policy. We require 24-hour notice if you need to cancel or reschedule your appointment. Clients who fail to provide 24-hour notice or do not show up to their appointment will be charged a $50.00 cancellation fee.

  • A credit/debit card on file is required to secure appointments. Your card will only be charged if you cancel without 24-hour notice, fail to attend your scheduled appointment, if your plan requires you to pay a deductible, or if a copay is generated. Please note that you are responsible for any charges that insurance does not cover.

 

What to expect after I book an appointment?

  • Once we receive your appointment request, you’ll receive a confirmation email from our client portal called Simple Practice. This email will allow you to create a profile, input your insurance information, and virtually sign our practice policy forms.

  • Verification of benefits: we highly suggest you call your insurance plan to determine if nutrition counseling is a covered benefit under your plan. To help out, we’ve created a script that you can follow when you call the member services phone number on the back of your insurance card. This script will be included in your Simple Practice profile as an attached document, which you can download.

  • If you need a referral for any reason, we will send you our referral form which your doctor can fill out and fax back to us.

  • In order to hold your appointment, a credit card must be on file. Your card will only be charged if you cancel without 24-hour notice, fail to attend your scheduled appointment, if your plan requires you to pay a deductible, or if a copay is generated. Please note that you are responsible for any charges that insurance does not cover.

  • Initial appointments can take up to 85 minutes (with the exception of Aetna which only covers 60-minute sessions). Follow-up appointments can take up to 55 minutes and usually range between 30-40 minutes.

  • We’re experts at helping people improve their nutrition habits. Don’t be nervous, we meet our clients where they are and help them make sustainable, realistic changes with zero judgment.
